What steps should we take if data appears to be missing or incorrect?
Steps if Data Appears Missing or Incorrect in POGO
1. Check Filters & Views First
- Make sure the right cohort, year group, subject, or date range is selected.
- Reset any filters in reports/dashboards (sometimes the data is there but hidden by filters).
- Confirm the correct academic year / term is being viewed.
2. Verify Input at Source
- Ask the teacher/staff member: “Was this data actually entered?”
- Check the input screens (marksheets, assessment grids, behaviour logs).
- If the data wasn’t entered, it’s not an error — it just needs recording.
3. Check Sync with MIS (if applicable)
- If POGO is pulling data from your school MIS (e.g., SIMS, Arbor, Bromcom, etc.):
- Check the last sync date/time.
- Make sure the MIS sync hasn’t failed (look for sync error messages or logs).
- Run a manual sync if possible.
4. Confirm Permissions
-
Sometimes users think data is missing, but their role doesn’t have permission to see it.
Admin can check:
- Does this role/user have visibility of that subject/year/class?
- Are staff/parents assigned correctly?
5. Look for Duplicates or Wrong Links
-
Sometimes pupils are assigned to the wrong group, or there are duplicate records.
Check:
- Correct class / year group assignment.
- Student ID matches the MIS.
6. Audit Trail
- Use POGO’s audit log (if available) to see:
- Who entered/edited the data.
- When changes were made.
- If data was deleted or overwritten.
7. Try Another Report
- Sometimes the “missing” data shows in a different report (e.g., it’s there in an assessment grid but not in the summary dashboard).
- If it appears elsewhere → it’s a reporting configuration issue, not lost data.
8. Escalate to Admin / Support
If you’ve ruled out filters, permissions, and MIS sync:
- Collect key info before contacting POGO support:
- Pupil(s) affected
- Subject / year group
- Report name where data is missing
- Screenshots of what you see
- Raise it with your school’s POGO admin first, then contact POGO support if needed. Email the POGO team for investigation - help@pogoprogress.co.uk
Best Practices to Prevent Issues
- Schedule regular MIS syncs (daily if possible).
- Train staff to enter data consistently (no leaving blank fields unless intentional).
- Keep roles and permissions up-to-date.
- Run spot checks after each major data entry window.
